Arrival & departures
Delegates of National Federations should arrive by Tuesday, November 19, 2019, preferably in the morning, as additional meetings may be arranged in the afternoon.
All departures should be on Friday, November 22, 2019.

Accommodation for delegates
The accommodation in one (1) complimentary room (on a 1-person occupancy) for three (3) nights from November 19 to November 22 at one of the two hotels above will be provided to each National Federation and Associate Member free of charge (2 complimentary rooms for joint NFs). Please fill out the [Document 2] by 31 August 2019 to reserve the complimentary room to congress@wbsc.org
Extra delegates for twin or double room share, extra rooms and extension of stay shall be at the expense of the Delegate(s). For prices, please see point 7.

Meals
The meals for delegates staying in the complimentary rooms, as explained in point 5, will be provided free of charge (from dinner on Tuesday, November 19 to breakfast on Friday, November 22). Breakfast will be served in each hotel; luncheons and dinners will be provided to everybody at the designated restaurant.
The Gala dinner will be held on Thursday, November 21, evening.

Cost of additional delegates/spouses
Every extra night/day for Delegates and/or additional person and/or longer stay will be invoiced directly.

It is recommended that Delegates book their flight or train to arrive in:
Kansai International Airport (IATA Code: KIX)—appx. 30 minutes by car to Sakai Osaka International / Itami Airport (IATA Code: ITM)—appx. 30min by car Shin-Osaka Train Station (for Shinkansen Bullet Train)—appx. 30min by car

Ground transportation to/from hotel
Ground transportation from the KIX, ITM Airport and Osaka Train Station to the hotel and vice-versa will be provided free of charge from November 19 until November 22 provided flight or train arrival/departure information is given to the WBSC Office at least twenty (20) days prior.

Visa
For those who requires VISA to enter Japan, the documents that are necessary for the application to the Embassy/Consulate must be prepared by the inviting person in Japan in Japanese. We encourage you to start contacting nearby Embassy/Consulate of Japan for necessity of couriering the original document from Japan, as well as preparing below items for the local organisers to organise the VISA documents in Japanese. Kindly submit the request with below items by 31 August 2019 to congress@wbsc.org:
- Copy of your passport
- Flight ticket
- Individual Profile (Name, Title in the federation/association)
- Mailing Address for couriering the original documentThose federations with multiple delegates who requires VISA to enter Japan, please submit the [Appendix B. Visa applicant list] excel attached, as well.
As the preparation of the document and couriering process take time, we encourage you to start the flight arrangements at your earliest convenience. Once all items are submitted, the application documents will be sent to mailing address indicated within time in September 2019. The WBSC Office remains at your full disposal for any additional information you might require.

Accreditations
Delegates and officials will require accreditation to enter the Congress meetings and gala dinner. Accreditation will be available upon your arrival (further details will be communicated later).

Information kits with the Congress Schedule and Agenda will be available upon your arrival.
In line with the WBSC’s sustainable development policy, the Congress Documents will be produced only in an electronic version. We hope you will welcome this approach and thank you for your understanding.
